To automate your business, start by listing the tasks that come up the same way every week: invoice reminders, lead follow-ups, booking confirmations, status updates. These are the ones worth automating first. Map each task to the tool you already use (Xero, HubSpot, your booking calendar), then build the trigger and the action between them. You do not need new software. You need the existing tools talking to each other.

Step 1: Find the task that is eating your week
Before you automate anything, pick one task. The one you do more than 10 times a week and want off your plate. Chasing overdue invoices. Following up on quotes that went quiet. Confirming bookings after they come in.

Step 2: Map what triggers it and what needs to happen
Every automation has two parts: a trigger and an action.

The action is what should happen next. A reminder goes out. A contact is created. A confirmation email fires. An invoice is drafted.
Write those two things down before you touch any tools. "When [X happens], send [Y]." If you cannot write that sentence, the process is not ready to automate yet.
Step 3: Use the tools you already have

Send yourself the invoice reminder. Check that the follow-up email looks right. Confirm the booking confirmation has the right details. Find out what breaks before it breaks on a client.
The most common issues: the wrong contact gets the email, the timing is off, or the message sounds like it was written by a robot. All fixable before it goes live.
Step 5: Keep watching it
Automations break when tools update. Xero changes an API endpoint. HubSpot moves a field. Your booking calendar adds a new format. None of these are announced to you.
