Invoice Automation with Xero | One Zero Agent

Published 26 September 2026. One Zero Agent, Brisbane.

Invoice automation in Xero means the follow-up reminders send themselves. An invoice goes overdue, Xero knows, and the sequence you set runs automatically: day 7 reminder, day 14 reminder, day 21 flag for a human call. You do not log in to check. You do not write the email. It just goes.

That is the basic version. The full version connects Xero to the rest of your business so payment data flows without manual entry.

What Xero already does (and where it stops)

Xero has built-in invoice reminders. If you have not turned them on, that is the first thing to do. Go to Settings, then Invoice Reminders, and set the schedule. This alone is worth an hour of your week for most small businesses.

But the built-in reminders have limits. The emails are generic. There is no branching logic for clients who always pay late versus ones who never have. There is no way to pause reminders for a client you are currently in a dispute with. And they do not connect to anything outside Xero.

That is where automation on top of Xero adds value.

What a proper invoice automation setup looks like

We build the automation around your actual billing workflow, not a template.

The reminders go out from your email address, in your voice, not from a generic Xero address. Different client types can get different sequences. Long-term clients who occasionally pay late get a gentler reminder than a new account that has never paid on time. Clients marked as high-value get a call task in your CRM instead of an email.

The other piece is the data sync. Job marked complete in your job management tool, invoice drafted in Xero automatically. Payment received in Xero, contact updated in your CRM. Nothing re-entered by hand.

Who this is for

Australian small businesses on Xero who are still chasing invoices manually. Tradies, consultants, professional services, anyone who sends more than ten invoices a month and feels like they are writing the same follow-up email on repeat.

It is not for enterprise finance teams running SAP or large accounting practices with a dedicated debtor management system. Those are different tools entirely.

How long it takes to set up

For most Xero users, two weeks from the first call to the first automated reminder running live. We map your billing workflow, build the sequences, test against a real invoice, and hand over the controls. You approve the copy and the timing before anything touches a real client.

After that, it runs. If Xero changes something on the backend that breaks the connection, we fix it. That is what the retainer covers.

What we actually build

We connect Xero to your email and, if needed, your CRM or job management tool. We set up the reminder sequences with your copy and your schedule. We test the triggers against real overdue invoices. We document what runs and when so you know what to expect.

We do not hand you a how-to guide and leave you to it. We build it, test it, and stay on it.
