Invoice automation: stop chasing overdue invoices and get paid without the follow-up
Published 15 September 2026. One Zero Agent, Brisbane.
You did the work. The client was happy. You sent the invoice. Now it is day 12 and nothing has arrived, and you are sitting there writing the same reminder email you wrote last month for a different client.
"Hi [name], just following up on invoice [number]. Please let me know if you need anything from me."
You feel slightly awkward about it. You wonder if they have already paid and you missed it. You check Xero. They have not. You send the email. You add a note to your calendar to check again next week.
This is not a cash flow problem. It is a system problem. And it is one of the easiest things to fix.
Invoice automation: how it works for AU small businesses
When an invoice goes overdue in Xero or MYOB, the system knows. It checks the invoice status, and if payment has not landed, it sends the reminder on a schedule you set.
Day 7 overdue: a polite first reminder. Something that sounds like a real person sent it, not a robot.
Day 14: a second reminder with a link to pay online if you have that set up.
Day 21: you get a notification. At this point it probably needs a human conversation.
Every step of that sequence runs without you doing anything. And critically, before each reminder fires, the system checks whether the invoice has been paid. If it has, no email goes out. No awkward "sorry, disregard" conversations.
The part that surprises most business owners
The most common thing we hear after setting this up is not "I got paid faster." It is "I stopped thinking about it."
Chasing invoices has a mental overhead that is bigger than the actual time it takes. When you know the reminders are running, you stop carrying that background worry. You stop doing the mental check on Friday afternoon. You stop drafting emails in your head during dinner.
The invoices do get paid faster, too. Consistent reminders that go out on time perform better than sporadic ones sent when you remember.
What you need for this to work
You need an accounting tool that has an API. Xero, MYOB, QuickBooks, and Stripe all qualify. You need an email to send from. That is basically it.
We use the tools you already have. No new software to learn. No new login to manage. The reminders go out from your email address, in your voice, on your schedule.
What it does not do
It does not chase every invoice the same way regardless of context. If a particular client always pays on day 30 and that is fine with you, we build that in. If you want different rules for different invoice sizes, we set that up.
It also does not replace the conversation when a client genuinely cannot pay. That still needs you. What it does is make sure you are having that conversation with full information and at the right time, not two weeks after you should have been.
How long it takes to set up
For most businesses, two weeks from the first call to the first reminder running live. We map the workflow, build it into your tools, test it with a real invoice, and stay on it. You approve the timing and the email copy. Then it runs.
If something breaks six months later because Xero updated an API, we fix it. That is what the retainer covers.
