Xero integration with your CRM, job board, and booking tools

Most AU small businesses using Xero love it for what it does. GST, BAS, invoices, payroll. It is solid.

The problem is that Xero lives in its own world. When a client pays an invoice, Xero knows. But your CRM does not. Your job board does not. Your booking tool does not. What Xero integration actually means

It does not mean replacing Xero. It means making Xero talk to the other tools you already use.

A new client signs a contract in your CRM. A contact is created in Xero automatically. No double entry.

A job is marked complete in simPRO or your job management tool. An invoice is drafted in Xero automatically. Nobody has to copy the job details across.

A client pays an invoice in Xero. Their status updates in HubSpot. Their next booking is confirmed. A receipt goes to their email. All at once, without you touching anything.

That is Xero integration. The accounting keeps happening in Xero. The client management keeps happening in your CRM. They just know about each other now.

Why most businesses do not have this set up

Xero has an API. HubSpot has an API. simPRO has an API. The problem is connecting them requires someone who knows how each one works and can build the logic in between.

There are platforms that promise to do this: Zapier, Make, and others. They can work well for simple things. But when the logic gets specific to how your business actually operates, off-the-shelf connections break or do the wrong thing in edge cases. And when they break, nobody is watching.

HubSpot is the most common. Syncing contacts, deals, and invoice status between the two so your sales team and your accounts team are looking at the same data.

simPRO, Fergus, and other trade job management tools come up a lot too. Getting jobs from the field into invoices without manual re-entry.

Google Workspace and Microsoft 365 for document generation. Quote goes out, invoice gets created, both filed in the right place automatically.

Calendly and booking tools for service businesses. Client books a time, a contact is created, a confirmation goes out, and the invoice is queued.

What does not change

Your staff keep using Xero the same way they do now. Your CRM does not change. Your job board does not change. We connect what you have. We do not replace it, retrain everyone, or introduce a new subscription.

The point is that the manual copying and checking stops. That is where the hours go in most businesses, and it is where we focus first.

Frequently asked questions

Can you use Zapier for Xero integration? Zapier works well for simple one-step connections. When the logic gets specific to how your business operates (conditional actions, error handling, multi-step flows), purpose-built connections are more reliable and easier to maintain when something breaks.

Does this work with MYOB? Yes. MYOB has an API and we connect it the same way as Xero. The most common setups are MYOB to HubSpot, MYOB to job management tools, and MYOB to Google Workspace for document generation.

We use a Zapier agency already. Why would we switch? If it is working and someone is watching it, great. If the Zaps break and nobody notices until a client complains, that is the gap we close. We build the connection and stay on it.
